Privacy Policy

This policy explains how Future Practice ("we", "us") collects and uses personal information when you use the free tools in the Future Practice Lab (the "Tools"), available at lab.futurepractice.com.

Information we collect

When you use a Tool you may provide, and we may collect:

  • Contact details — your name, email address, and phone number.
  • Practice details — practice name, location, website, and Google Business Profile identifier.
  • Tool inputs and results — the information you enter and the report we generate for you.
  • Technical data — IP address and basic request metadata, used for security, abuse prevention, and rate limiting.
  • Usage analytics — page views, tool funnel steps (for example when a report is requested or a strategy call is booked), and session recordings / heatmaps via Microsoft Clarity, so we can understand how the Tools are used and where people get stuck.

How we use your information

  • To generate and deliver the report or analysis you request.
  • To email you a copy of your results when you opt in, and to follow up about relevant services.
  • To operate, secure, and improve the Tools.
  • To understand how visitors move through the Tools (visit → lead → booking) using Microsoft Clarity.
  • To detect and prevent automated abuse of tools that incur real processing costs.

Service providers we share data with

We use a small number of trusted processors to run the Tools. They only process data on our behalf and for the purposes below:

  • Anthropic (Claude) — generates the AI analysis in your report.
  • Google (Places API) — retrieves public business-listing and review data.
  • Brevo — delivers report emails and stores contact details.
  • ElevenLabs — powers the voice audit in the Front Desk Strategist, where used.
  • Cloudflare — provides bot protection (Turnstile) and stores call recordings (R2), where applicable.
  • Microsoft Clarity — provides product analytics (page views, custom funnel events, session recordings, and heatmaps) for the Lab Tools.

Bot protection (Cloudflare Turnstile)

To protect our Tools from automated abuse, we use Cloudflare Turnstile. Turnstile runs in the background to verify that requests come from a genuine browser, without showing you a puzzle. To do this, it collects information about your device and browser environment.

Your use of Turnstile is subject to the Cloudflare Turnstile Privacy Addendum.

Analytics (Microsoft Clarity)

We use Microsoft Clarity on the Lab Tools to measure visits and a small set of conversion steps (for example when you submit contact details for a report, or when the Calendly booking widget is shown or a call is scheduled). Clarity may also record anonymised session replays and heatmaps of how people interact with the Tools.

Clarity may set cookies or similar technologies and process device and usage data on Microsoft's systems. We do not use Clarity to intentionally capture passwords or payment details. For more on how Microsoft processes this data, see the Microsoft Privacy Statement.

Data retention

We keep the information you provide for as long as needed to deliver the Tools and to contact you about relevant services, and then for a reasonable period as required for legal and operational purposes. Specific retention periods will be confirmed in the final version of this policy.

Your rights

Depending on where you live, you may have the right to access, correct, or delete your personal information, or to object to or restrict certain processing. To exercise these rights, contact us at info@futurepractice.com.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
